ABOUT THE COMPANY
Otsu Labs is a 2D animation studio with a primary focus on the anime style. We provide end-to-end services, from character design and environment concept creation to storyboard development and final scene production. In addition to commercial projects, Otsu Labs is committed to developing original intellectual properties (IPs), delivering innovative and groundbreaking works in the animation industry.
We are looking for an experienced and highly organized Executive Assistant to work directly with the Chief Operating Officer (COO). This role is not just administrative support – you will act as the COO’s right hand, ensuring priorities are executed effectively, facilitating key decisions, and enabling smooth coordination at the executive level.
KEY RESPONSIBILITIES
- Coordinate the COO’s schedule, meetings, and operational deadlines across departments.
- Review, verify, and manage all employee timesheets across multiple teams.
- Conduct data analysis on timesheets and operational data as requested, preparing actionable insights.
- Prepare clear, concise daily reports and updates to support COO decision-making.
- Communicate effectively with internal teams and external partners as needed.
- Maintain confidentiality when handling sensitive project and company information.
- Support administrative functions and coordinate cross-team tasks to ensure smooth day-to-day operations.
- Anticipate the COO’s needs by identifying potential issues or opportunities in advance and proposing solutions.
- Perform other responsibilities and tasks as assigned by the COO.
REQUIREMENTS
Technical Skills & Experience
- Advanced proficiency in Google Sheets (formulas, formatting, data validation).
- Solid skills in Google Docs, Google Slides, and Figma (view/comment mode).
- Capable of managing and analyzing data to support operational decisions.
- Strong English proficiency (both written and verbal).
- Familiarity with project management tools such as Trello, Asana, or ClickUp.
- Experience in administrative or project coordination roles, preferably in creative industries.
Personality & Mindset
- Highly organized, structured, and attentive to detail.
- Adaptable in a fast-paced environment with shifting priorities.
- Mindful and discreet, capable of handling confidential matters with professionalism.
- Concise communicator – able to provide daily updates in short, structured formats (quick chat and structured reports).
- Proactive initiator who spots problems/opportunities early and an enabler who ensures smooth COO operations.
- Genuine interest in the anime/animation industry is highly valued.
